A five-part hotel shift handover
- Guest commitments: urgent unresolved requests, promised delivery times and any accessibility arrangements.
- Room readiness: rooms blocked for housekeeping, maintenance or inspection, with the named owner.
- Staffing: absences, role coverage, reassigned tasks and expected workload spikes.
- Food and beverage: outstanding orders, allergen alerts, kitchen delays and pickup ownership.
- Safety and escalation: incidents requiring a qualified responder or duty manager review.
Write a handover that somebody can act on
For each open item, record its location or reference, the last verified status, the accountable team member, next action, due or promised time, and escalation path. Avoid vague entries such as “housekeeping pending” or “guest upset”.
| Item | Accountable owner | Next action | Escalation trigger |
|---|---|---|---|
| Room 204 extra pillows | Evening housekeeping lead | Confirm delivery and close request | No update by stated time |
| Room 310 food order | F&B runner | Confirm kitchen-ready stage and pickup | Stage remains uncertain |
| Room 118 maintenance issue | Duty manager | Assess safety and allocate qualified support | Immediate if safety risk |
Use a brief spoken walkthrough for high-risk items
Do not rely only on a document when a situation has safety, accessibility, payment or time-sensitive guest consequences. The outgoing manager should explicitly confirm that the incoming owner understands what happens next.
What should you measure?
Track handover items without an owner, aged unresolved tasks, missed service promises and repeated reassignments. Audit a sample of completed requests rather than treating a “closed” status as proof of delivery.
Make the process repeatable
Use our private Shift Handover Builder to prepare a printable brief in your browser, or download the editable hotel shift handover template. Both work without a paid account. For multi-team coordination, review the hotel Command Center.
Privacy note
Do not include guest phone numbers, payment credentials, medical details or other unnecessary personal information in a printable handover. Use internal reference numbers and follow your property's retention policy.
