HOTEL OPERATIONS · PRACTICAL GUIDE

Hotel Digital Operations Implementation Checklist

A staged checklist to introduce room QR guest services and connected hotel operations while preserving service quality.

The practical starting point

A staged checklist to introduce room QR guest services and connected hotel operations while preserving service quality.

Prepare room and team data

Confirm stable room IDs, floor assignments, room types, service definitions and responsible staff teams before placing QR cards.

Test the complete guest journey

Scan a real room QR, place an eligible guest request, follow the Command Center queue, accept as an employee and verify the guest history entry.

Prove manual reliability first

Run normal manual shifts; verify service creation, team mapping, order lifecycle, staff permissions, billing hand-off and device restoration before enabling Autopilot.

Pilot optional automation

Use real QR check-ins, create a small set of task-offer scenarios, test simultaneous acceptance and failover to Manual Mode. Only expand when operational data and staff training are reliable.

Applying this guidance in a real hotel

Use these scenarios and checks as practical starting points; adapt them to your property’s actual operating procedures.

Before deploying room QR cards

Use a stable room ID for each physical room. Test guest access opening and closing, printed QR scans, menu availability, service categories, team mapping and an inactive room. Confirm staff know what to do if the guest’s phone or the hotel connection is unavailable.

Before enabling Autopilot

Verify that QR-confirmed attendance is reliable, that every eligible service has a responsible team, and that the default estimated duration is realistic. Test a staff member on break, a wrong-team employee, overloaded queues, offers nobody accepts and the same task accepted concurrently on two devices.

During the controlled pilot

Log the number of requests created, time to acceptance, time to completion, queue capacity exceptions and manual overrides. Review them with the actual duty team. Keep a documented way to switch to Manual Mode, and do not enable automation across the whole property until staff and managers trust the recorded state.
