HOTEL OPERATIONS · PRACTICAL GUIDE

Understanding Hotel Operations Software ROI

A transparent framework for estimating operational value without promising automatic revenue uplifts or staffing reductions.

The practical starting point

A transparent framework for estimating operational value without promising automatic revenue uplifts or staffing reductions.

Separate revenue and operational effects

Guest ordering may affect dining opportunities; task coordination may reduce administrative handling time. Do not combine them into one unsupported improvement percentage.

Establish a baseline

Track request volume, median acknowledgement time, completion time, manager coordination minutes and room dining revenue over a meaningful period.

Model a realistic scenario

If a hotel handles 40 requests daily and coordination time falls by two minutes per request, that represents 80 minutes of coordination capacity per day—not necessarily payroll savings.

Include implementation and maintenance

Account for training, printed QR cards, subscription, device practices and ongoing service configuration. Test scenarios with the hotel’s own inputs using the ROI calculator.

Applying this guidance in a real hotel

Use these scenarios and checks as practical starting points; adapt them to your property’s actual operating procedures.

Illustrative calculation

Assume 40 guest requests per day, two minutes of manual coordination avoided per request, 30 operating days and an hourly value of $12. That is 2,400 minutes, or 40 hours of coordination capacity, notionally valued at $480 for the month. It is not a forecast of payroll savings; the hotel may redirect those hours to guest service rather than reduce staffing.

Revenue is a separate hypothesis

Digital room-service ordering may make some items easier to discover, but demand, room occupancy, pricing and service quality all affect purchase behaviour. Model 2%, 5% and 10% order-revenue changes as scenarios, not guaranteed results. Convert extra sales into contribution using the hotel’s own gross margin assumptions.

Do not double-count

If the same saved coordination time is already included in a labour-capacity estimate, do not add it again as a staff-cost reduction. Likewise, one-time avoided hardware cost belongs in first-year value, not recurring annual savings. Document each assumption and disclose whether it was observed or modelled.
