GUIDE FOR INDEPENDENT HOTEL OPERATORS

How to Set Up Hotel QR Room Service: A Practical Checklist

A practical guide for small and boutique hotels implementing QR-based room ordering without dedicated guest tablets.

1. Define the guest journey

List the actual room services available: in-room dining, extra towels, housekeeping or assistance. Assign each service an owner and clarify opening hours.

2. Prepare room access

Create room-specific access points and place printed QR cards where guests can find them. Test that the printed codes work at realistic scanning distances.

3. Publish an accurate menu

Add prices, descriptions, optional extras and availability only for items the kitchen can fulfill. Review relevant tax settings with the business’s own tax adviser.

4. Rehearse with staff

Test a meal order and a non-food request from guest phone to staff view, acceptance, fulfillment and closure. Train fallback procedures for unavailable staff or connectivity.

5. Run a limited pilot

Start with a few rooms, review confusion points and staff handling time, and improve the flow before a full rollout. Avoid projecting guaranteed sales uplift.

6. Check plan fit

Compare room capacity, active items and staff accounts across Signature, Elite and Grand. Effective monthly cost per included room is an annual-plan comparison, not a meter.

IMPLEMENTATION CHECKLIST

A room QR rollout you can actually test

  1. Audit rooms and floors. Make a room list that uses the same numbering guests see at the door. Confirm whether floor identifiers should appear on internal operational screens.
  2. Assign one stable QR to each room. Generate the right room QR and open it on a different phone before printing the full batch.
  3. Choose card placement. Put room QR cards where a guest can see and scan them, without obscuring hotel contact information or creating a confusing cluster of unrelated codes.
  4. Check guest readability. Test menu categories, published services, information, prices and accessibility at typical mobile widths.
  5. Check hotel handoff. Place a safe sample request, confirm it reaches the correct Command Center, and test staff acknowledgment and status changes.
  6. Provide an alternative. Explain how guests can contact reception when their phone, camera or connection is unavailable.
